World Travel & Tourism Council (WTTC) is looking to recruit an Events Coordinator. This is a highly visible role focused on the successful planning and delivery of WTTC in-person and virtual events programme. The Events Coordinator role will require a passion for teamwork, a focus on customer service above all else, and a keen sense of detail, organisation and collaboration.

You will work alongside a small team planning multiple events at the same time, whilst working with multiple stakeholders and vendors conducting the pre-planning required to organise and deliver events. Some international travel will be required to support WTTC events including 1-2 weeks overseas for the Global Summit.

Key Responsibilities:

Events Marketing

  • Manage all aspects of event registration systems, event websites and event marketing and data collection communications
  • Point of contact for delegate enquiries
  • Maintain and update event management system (Cvent) and CRM (Salesforce)
  • Produce regular registration and email reports

Events Administration

  • Liaise with Global Summit event host to book and manage the allocation of accommodation as per the MOU (including WTTC staff, speakers, contractors, media)
  • Liaise with Global Summit event host to book and manage the allocation of complimentary flights as per the MOU (including WTTC staff and others as required)
  • Liaise with Global Summit event host to manage and oversee transfer logistics
  • Setting up and managing webinars and virtual meetings using Zoom webinar
  • Support with operational event elements including registration, venue sourcing, on-site documents and post-event reporting.

Event Management

  • Managing the end-to-end project co-ordination of WTTC webinars working in collaboration with the programme and marketing teams
  • Assist or lead event projects as required
  • Assist Events Manager with event budgets as required, including initial budget estimates and tracking all supplier costs throughout the event
  • Provide event production, operations and logistics support to Events Manager as required, including liaison with: Event hosts, WTTC contracted event suppliers, Venues, PCOs and DMCs.
  • Provide event administration support to Events Manager for event tendering processes and liaison with potential event host.
  • Attend site visits to event locations.
  • Attend selected events, managing or providing support in event marketing, administration and operations management on-site

Knowledge

  • Proven experience in co-ordinating and administering large events with complex logistics elements, both virtual and in-person (global event experience an advantage)
  • Experience in venue finding
  • Experience with event registration platforms (Cvent preferred)
  • Experience of CRMs (Salesforce preferred)
  • Experience of webinar platforms (Zoom preferred)
  • Experience of co-ordinating projects and budgets
  • Onsite delivery of large events, international advantageous
  • High level of IT literacy to provide basic support functions
  • Experience within the Travel Industry advantageous

  • High level of organisation, planning and time management skills
  • High level of accuracy and attention to detail
  • Excellent communication skills both verbal and written
  • Ability to build good relationships with internal and external stakeholders
  • Demonstrable experience of dealing sensitively and professionally with senior level contacts
  • Solutions driven
  • Fluent in English
  • Fluent in a second language would be an advantage
  • A Bachelor’s degree or equivalent preferred
  • Proficient in MS Office, including PowerPoint and Excel
  • Knowledge of Microsoft Teams administration and management
